Modernisation for independent travel agencies.

See the work

Built, delivered, running in under six weeks.

Three independent travel businesses. Three problems they couldn’t solve with off-the-shelf software. Three systems built around how they actually work.

Hey! I’m Emma, your Coastal Escapes rep. Where are you dreaming of going?
Somewhere warm with a beach — maybe Greece or southern Spain?
Love both of those! When were you thinking of going?
Mid-October, about a week
Perfect timing — still gorgeous weather. How many of you are travelling?
Two of us
Great! Anything else I should know — dietary needs, accessibility, must-haves?
My partner’s gluten-free, so somewhere with decent food options would be ideal
Noted! I’ll make sure the options I send are GF-friendly. Anything else?
That’s everything!
Brilliant — what’s the best email to send your options to?

You’re all set, Sarah! I’ll have some tailored picks in your inbox by tomorrow.
Amazing, thanks Emma! That was so easy.

Customer Chatbot

Enquiries were arriving faster than the team could answer them.

The situation

The phones rang, the inbox filled, and by Friday the same conversation came up — how many enquiries had gone cold because nobody could get back to them in time? Most weren’t ready to book yet. They wanted a starting point. An itinerary. A reason to keep talking.

What we built

Not a chatbot pretending to be human. A chatbot that does the work a human can’t be in three places to do — gathering the basics, drafting a real itinerary the customer can react to, and handing the conversation cleanly to an agent the next morning with everything already in context. Built in four weeks, design to live.

The outcome

~5 min

agent-handled, end to end

replacing ~25 min of staff time per enquiry

24/7

enquiries answered overnight

drafts ready in the inbox before opening

70%

conversations end qualified

agents start the day with informed customers

0

enquiries lost out of hours

down from a steady weekly leak

Itinerary Builder

Every new itinerary started with someone digging through old ones.

The situation

The team’s best work — beautifully composed itineraries built up over years — was buried in folders, Google Docs, emails, and the heads of two senior planners. Every new trip began the same way: open a five-month-old document, copy the day-by-day, change the dates. It worked. It was slow, fragile, and not how anyone wanted to spend an afternoon.

What we built

An itinerary builder that treats every previous trip as a library of reusable parts. Days, regions, suppliers, transfers, restaurants — all become modular blocks agents drag together, tweak, and ship. The library grows every time someone builds a new itinerary, so the system gets better the more the team uses it. Built in six weeks, including content migration from existing documents.

The outcome

~25 min

down from ~3 hours per trip

80%+

built from reusable blocks

the library grows with every trip

No bottleneck

removes the two-person dependency

Client Dashboard

Nobody knew where anyone was.

The situation

Every agent had their own version of the truth. One worked from a spreadsheet, one from her inbox, one from memory. When a client phoned in mid-trip — flight delayed, hotel changed, suitcase missing — whoever picked up had to guess who’d handled the booking and what they’d promised. The team was good. The information just wasn’t where they needed it.

What we built

A live dashboard for the whole team. Every client. Every trip. Every status, in one place. Where they are right now. What they’re doing tomorrow. Who at the agency owns the booking. What’s been promised. The kind of “I just need to know if they’ve landed” answers that used to take ten minutes now sit one glance away. Built in six weeks, design to live.

The outcome

<30s

down from ~12 min hunting through inboxes

1.5–2×

without adding headcount

About

Small team.
Full attention.

We started CompletePicture because we kept seeing the same thing: businesses with good people, good instincts, and terrible tools. Teams spending half their week on tasks a well-built system could handle in minutes — because that’s the way they’d always done it. Not because better technology didn’t exist, but because nobody had made it accessible to them.

We’ve sat on both sides of this. We’ve been the team drowning in spreadsheets, and we’ve been the ones building the software.

That’s why we work the way we do — embedded with you, not handing down solutions from a distance.

Let's talk.

If any of this sounds familiar, we should have a conversation. No pitch, no pressure — just a chat about what you're dealing with and whether we can help.
